New reservation: the step-by-step booking wizard
Book a unit for a new or existing customer at the counter: pick the unit, the customer, dates and add-ons, review the costs, sign the agreement and take payment.
The New reservation wizard walks you through a booking one step at a time. Open it from the New reservation button on your dashboard, from a unit (unit page or facility map, which picks that unit for you) or from a customer's page (which picks that customer).
Your progress is saved as a draft after every step, so you can refresh, go back, or come back later from the same screen. Nothing is booked until you press the final Complete button.
The steps
- Location: only shown if you manage more than one facility. Choose where the booking is for.
- Unit: filter by size, type, features and the date you need. Cards show the unit type photo, dimensions and a size guide. Switch to Map to click a unit on your facility map. Pick a rate: month-to-month or a lease term (term rates come from Settings → Lease terms).
- Customer: search existing customers by name, email, phone or unit, or add a new one. We warn you if the email or phone already belongs to a customer so you don't create duplicates. You can attach a photo of their ID, and vehicle / RV / boat details for parking units.
- Dates & terms: reserve for later or move in now, choose the date (the calendar shows how many units of that type are free each day), apply a promotion or code, and add a lock (rent, sell or assign from your lock inventory), a protection plan, a deposit, and autopay.
- Review: the itemised move-in cost: prorated rent, next month when moving in after the 20th, promotion, fees, deposit, add-ons and tax, using the same billing rules as the rest of the platform. A card surcharge, when you've enabled one, is shown as a note because it only applies to credit card payments.
- Agreement (move-ins). The lease is generated from your rental agreement template. The tenant can sign on your tablet or screen (draw + type their name), you can create an e-sign link to send later (shown as a link you can copy; we don't email it while outbound email is off), or upload a signed paper agreement.
- Payment: if your Authorize.net account is connected, take card or bank payment on Authorize.net's secure page (we never see card numbers). Otherwise record cash, check or money order, or leave the invoice open. Staff without billing permission can still book; the invoice stays open for a teammate to collect.
- Done, the summary, the tenant's gate code, links to the invoice, signed agreement and customer, and a button to start the next booking.
Good to know
- If another booking takes the unit while you're working, the final step stops and asks you to choose another unit; your other answers are kept.
- Pressing Complete twice never books twice.
- Team members need the Reservations, move-ins/outs permission to use the wizard.
